Using the 'Display' or 'New Book Display' status

If you are using books for a Display then you can change the status of the book to reflect this.

There are currently two settings available on Heritage which have been used at Stoke Park.

Display
New Book Display

To use these settings change the accession status as appropriate on either the catalogue or accession record - this is also useful when searching the catalogue as the status will be given so you can see where the item is.  This will treat the book as a 'Lost' item so if it is presented for loan you will be asked if the item has now been found.

You can also add an accession event in the accession record if you would like to record for which displays the item has been used.

In Transit intercept

You can 'intercept' an In Transit item by Returning the item.

Click on Yes when you are asked if you want to make the item available for loan at your site.

Cancelled Items

Librarians...

don't forget that if an order is cancelled you need to make sure it is cancelled on Heritage.

Aquistions Menu - Return/Cancel items

Then, if there are no other copies of the title, you should also delete the catalogue record.  Otherwise it will appear as a 'None in stock' item.

Requesting items from other sites

Item Requests

These cannot be placed on the OPAC or through Enquiry. Therefore all item requests will have to be placed through staff at the desk. This function differs from reservations in that it uses specific accession numbers not all available copies of a title

Use the circulation function “Reserve” and

  • Ensure site transfer is ticked
  • Check the collection site – it should default to the reader’s home site
  • Ensure “Item request” is ticked
  • Ensure that “Single-item” is selected
  • Enter the accession number of the item to be requested

To find books on the pick list, run the following report
Circulation Menu – Reservations menu – Reports – Requested items waiting to be picked off the shelf

Sending items across

Return the item on Heritage before you send it over. It will tell you that it has been requested and asks if you would like to reserve it. Say that you would like to reserve it.

Reserving specific copies of a title

If you want to place a reservation on specific copies of a title, e.g. only the 7 day copies , you are able to do this through the Reserve function in Circulation.

  • First you will need to be able to identify the accession numbers of the copies you want to reserve.
  • Click on the Reserve function and on the right hand side of the screen use the drop down arrow to select 'Copies selected by reader'
  • Enter an accession number or ISBN and you will see a dialogue box listing all the copies of the title in question.
  • Tick the box next to the copies required and then click OK.
